All volunteers and employees at AvaCon are “at will” employees.
When an employee, volunteer staff member, or Independent Contractor’s employment or business relationship with AvaCon is terminated, a number of steps need to be performed to help the exit process go smoothly, to remove access to company resources, and to minimize liability for wrongful dismissal proceedings.
This page documents the Termination & Exit Interview process and includes a checklist of steps that may need to be followed to remove access to AvaCon accounts and services.
Remove Access to Accounts & Services
In general, a person’s accounts and access should be removed BEFORE the termination letter is sent or an exit interview meeting is held.
Google Apps Domain
1. Suspend the user’s avacon.org email address.
2. Transfer ownership of the user’s documents to board@avacon.org
3. Remove the user from shared drives
4. Remove the user from groups and/or distribution lists
5. Restore user’s avacon.org email address and change its password
6. Log into user’s avacon.org email address and go to Account > Data Tools > Download Copy of Data > archive email
7. Upload Archive to the terminated employee’s personnel file
8. Delete the user’s account
9. Update the Accounts spreadsheet accordingly
10. Move personnel file from Active Employees directory to Terminated Employees directory
Other Online Accounts
1. Remove user from Skype groups
2. Remove user from Trello board(s)
3. Remove user from Hootsuite or other connected social media accounts
4. Transfer posts or content on avacon.org WordPress site to admin account, delete user
5. Transfer posts or content on other WP sites to admin account, delete user
OpenSimulator Grids
1. Remove user from any administrative groups/roles or estate management lists on AvaCon Grid
2. Remove user from any administrative groups/roles or estate management lists on project grids
3. Update the Accounts spreadsheet accordingly
4. Remove the user’s nameplate from their office in the AvaCon HQ building
Exit Interview Process

- KY employees: The employer must furnish the employee with a Form K-2 Wage & Tax Statement in duplicate (Copies “No. 2” and “C”.)
- NJ employees: All employers must issue Form BC-10, “Instructions for Claiming Unemployment Benefits,” to all employees separated for seven days or more. The BC-10 provides the Division of Unemployment Insurance with the correct name, address, and New Jersey Employer Identification Number of the separating employer. This information facilitates claims processing. Contact the Bureau of Program Services and Standards at (609) 292-2347 for supplies of this form, or you may download the form here.
